How the agent books an appointment

When Book appointments on the call is on for an agent, it can book while the caller is on the line:

The caller asks for an appointment.
If Google Calendar is connected, the agent checks your calendar for a free slot within its booking hours.
It collects the caller's name, contact details and a time, and confirms the details with them.
The appointment is saved in BookifyCall and, if Google Calendar is connected, added to your calendar.

Viewing appointments

Go to AI tools → Appointments to see every appointment, as a weekly calendar or a list.
The Dashboard shows this week's bookings.
Click an appointment to see its details.
To add one yourself, click New appointment.

Managing appointments

Confirm

Open the appointment and click Confirm appointment.

Cancel

Open the appointment, click Cancel appointment, then confirm.

Calendar integration

Connect Google Calendar

An organization admin can connect Google Calendar so the agent books into it:

Go to Settings → Integrations.
Click Connect Google.
Sign in to Google and allow calendar access.
Back in Settings, choose the calendar to book into under Book into. Your primary calendar is used unless you pick another.

What goes on the calendar

The appointment title and purpose
The start and end time, in the appointment's time zone
The customer's email, added as a guest
A Google Meet link

If a sync fails: the appointment is still saved in BookifyCall. Open it and click Retry sync.

Common questions

How are appointments booked?

During calls, your AI agent can book appointments by collecting customer name, email, phone, date, and time. The agent confirms all details before booking.

Do appointments sync to my calendar?

Yes, if an admin connects Google Calendar in Settings → Integrations, new appointments create events in your primary calendar and send invites to customers.

Can I edit or cancel appointments?

Yes, go to the Appointments page to view, edit, confirm, or cancel any appointment.

Will customers receive appointment confirmations?

If Google Calendar is connected, customers receive a calendar invite by email with a Google Meet link.

Can I see all my upcoming appointments?

Yes, go to the Appointments page or check your Dashboard.

Do appointments work without calendar integration?

Yes, appointments are saved in BookifyCall regardless of calendar integration. Calendar sync is optional but recommended.
